What is Microsoft Excel?

Excel is a computer program developed by the Microsoft company for Windows, mac OS, Android, and iOS. It is a part of Microsoft Office which includes other programs such as Word and PowerPoint, Access, etc.

It is an electronic spreadsheet used to store, organize, and manipulate data. The data is stored in cell/cells. It is usually organized into a series of columns and rows in a worksheet. The collection of columns and rows is referred to as a table.

Why ms excel is important?

Microsoft Excel enables users to identify trends and organize and sort data into meaningful categories.

Excel also performs Human Resources functions, such as sorting worked hours and organizing employee profiles and expenses, which help businesses better understand the structure and activities of their workforce.

Pivot tables summarize data from a worksheet into a chart.


What is Excel for?


Excel is distinguished from all other office programs because it allows us to work with numeric data. We can perform basic arithmetic calculations with the numbers stored in Excel. We also apply more complex mathematical functions or use of statistical functions.


Excel makes it easier for us to work with numbers and allows us to easily analyze them. It generates reports with tools such as graphs and dynamic tables.

Anyone who has ever attended training with me, or even anyone who has read my other “shortcut key” posts, should know that I am a big fan of shortcuts. Anything that can improve efficiency and workflow is a good thing in my books. Because I often multi-task on the computer, I tend to use many of these shortcut keys on a very regular basis.

If you plan to start using keyboard shortcuts, start small. Don’t try to memorise them all in one go. Break them down into a hand full of the shortcuts you think you will use most often. Once you have those locked into memory then identify the next group and continue until you have mastered shortcuts like a pro!

Below is a list of my favourite shortcuts to use in Microsoft Excel. Don’t worry about writing these ones down, you can receive a PDF copy of all keyboard shortcut lists at the bottom of this post.

What are excel formulas?

Excel formulas help you identify relationships between values in the cells of your spreadsheet, perform mathematical calculations using those values, and return the resulting value in the cell of your choice. Formulas you can automatically perform include sum, subtraction, percentage, division, average, and even dates/times.

  48. F12: Pops open the Save As window, allowing you to save the MS Excel file in any location you wish.

  55. Ctrl + Shift + #: Selected cells formatted as date with day, month, year format.
  56. Ctrl + Shift + %: Selected cells formatted as percentage.
  57. Alt + F1: This allows you to make an embedded bar chart on the selected cells.
  58. Alt + Q: Shortcut key opens the 'Tell me what you want to do', enabling you to search for a feature.

Apart from these, there are a couple of basic shortcut keys that can be used across Microsoft Office. Some are listed below:
